The following project examples provide insight into our approach, from strategic planning through technical implementation to ongoing operations. All results are based on documented metrics from the first twelve months after go-live. Each project was fully managed by XICTRON from requirements analysis through development to production launch. We continue to provide ongoing maintenance and further development for all featured clients under our SLA-based support packages.
Industrial Parts Wholesaler: From Manual Order Processing to an Automated B2B Shop
A mid-sized wholesaler for industrial components based in North Rhine-Westphalia processed over 45,000 orders annually by phone, fax and email. The error rate in order entry was approximately 3.8 percent, leading to costly returns and delivery delays. We developed a Shopware-based B2B shop with real-time SAP integration, customer-specific price lists for over 2,400 business clients and a multi-tier approval workflow for large orders. The catalog spans 180,000 items with dynamic availability display. A central element of the solution was real-time inventory synchronization across the wholesaler's three locations, so customers can immediately see during the ordering process which location can deliver and what delivery times are realistic. We also implemented a quick-order function for regular customers, who can place orders with dozens of line items within seconds via article numbers or CSV upload. After go-live, 72 percent of all orders were processed digitally. The error rate dropped to below 0.4 percent. Average processing time per order decreased from 14 minutes to under 2 minutes.
Laboratory Supplier: Complex Product Configuration With Compliance Requirements
A laboratory equipment supplier from southern Germany sells highly specialized instruments and consumables to research institutions and pharmaceutical companies. The challenge: many products require individual configurations, and regulatory requirements demand complete documentation of order histories. Our solution included a configurable product catalog with 28,000 items, Microsoft Dynamics ERP integration and a role-based authorization system with budget limits per department. The authorization system automatically routes orders above a defined value to the responsible manager for approval, meeting internal compliance requirements while simultaneously accelerating the procurement process. We also implemented an audit trail function for compliance documentation that logs every order with timestamp, user identification and approval status. The result: 58 percent reduction in manual ordering effort and procurement cycle times that decreased from an average of four days to one day.
Packaging Manufacturer: International B2B Shop With Multi-Currency Support
A Lower Saxony-based manufacturer of industrial packaging supplies customers in 14 European countries. The existing ordering platform could not handle country-specific tax rates or individual shipping conditions per destination. We implemented a multilingual Shopware shop in five languages with automatic currency conversion, country-specific tax calculations and an integrated quotation module for bulk quantities. The quotation module allows buyers to submit volume inquiries directly through the shop and receive a binding quote with calculated logistics costs within hours. The DATEV integration automates invoicing across all target markets, accounting for the varying VAT regulations for intra-community deliveries. Within the first year, online orders from European markets increased by 41 percent. Manual quote processing was reduced by 65 percent.
Building Materials Dealer: Self-Service Portal With Project-Based Ordering
A regional building materials dealer with eight locations in northern Germany processed the majority of B2B orders by phone through their internal sales team. Regular customers had to contact their representative for every order, check availability by phone and request quotes via email. The sales team was overwhelmed with routine administrative tasks, while strategic client management suffered. We implemented a Shopware-based self-service portal with project-based ordering: customers can assign orders to construction projects, upload material requirement lists and view location-specific availability in real time. The DATEV integration automates invoicing and cost center allocation. A volume discount system calculates tiered pricing automatically based on historical order volumes. The result: 53 percent of existing customers actively use the portal, the internal sales team reduced time spent on routine orders by 68 percent, and average order frequency increased by 22 percent as customers can place orders independently of business hours.
Project Results at a Glance
The following table summarizes the key metrics from our four featured case studies. The figures demonstrate that B2B e-commerce projects across different industries and ERP systems exhibit comparable success patterns: significant reduction in manual processes, measurable decrease in error rates and notable increase in digital order volume. In every case, the decisive factor for success is clean integration into the existing system landscape and consideration of industry-specific requirements for order workflows, pricing structures and compliance.
